Role Overview
Your Tasks – What You can Expect as Sr. Manager- Administration:
A. General Administration
- Manage and supervise day-to-day administrative operations of the plant.
- Ensure effective functioning of facility services: housekeeping, security, gardening, stationery, and visitor management.
- Develop & implement administrative Policies, SOPs & Systems
- Ensure discipline, orderliness and adherence to company policies across facilities
- Manage employee facilities such as lockers, restrooms, creches, parking, and recreational areas.
- Act as a key interface between management, employees, vendors, and authorities.
- Support HR and other departments in employee engagement and workplace initiatives.
B. Infrastructure & Facility Management
- Manage maintenance and upkeep of plant buildings, offices, utilities, and common areas.
- Coordinate with engineering/maintenance teams for timely repair and preventive maintenance.
- Ensure workplace safety, hygiene, and availability of basic amenities.
- Coordinate renovation, expansion and infrastructure projects
- Maintain records of company assets, consumables, and office supplies.
- Ensure proper utilization, maintenance, and disposal of assets.
C. Security & Safety
- Supervise security personnel, gate operations, shift management, and CCTV monitoring.
- Implement and review security protocols for assets, materials, and personnel.
- Coordinate safety drills, emergency response plans, and compliance with statutory safety requirements.
- Liaison with local authorities, police, fire department, PCB and security agencies.
- Act as SPOC for emergencies including fire, accidents, natural calamities, or security breaches.
- Maintain emergency response systems and coordinate with external authorities.
D. Transport, Canteen & Housekeeping
- Manage employee transportation, route planning, scheduling, contractor coordination, and statutory compliance.
- Manage canteen operations including quality, hygiene, vendor management, and food safety norms.
- Control costs and maintain service quality standards.
- Ensure housekeeping standards across offices, plant, and common areas.
E. Statutory & Regulatory Compliance
- Ensure compliance with statutory requirements related to labor, fire safety, environmental norms, and local administrative regulations.
- Responsible for maintaining licenses, approvals, and documentation (Factories Act, Shops Act, etc.).
- Coordinate audits and inspections by government authorities.
F. Vendor & Contract Management
- Identify, evaluate and manage administrative contracts, SLAs, service providers and contractors.
- Negotiate contracts, control costs and ensure service level compliance
- Monitor vendor performance and take corrective actions where required
G. Budgeting & Cost Control
- Prepare and manage the administration budgets.
- Implement cost-effective measures and ensure expense tracking and vendor billing.
- Prepare monthly MIS and ensure timely submission to assigned team members.
- Approve administrative expenditures within delegated authority.
Your Profile – What do You bring as Sr. Manager- Administration:
Required Qualifications & Experience
- Graduate/Postgraduate degree.
- Candidate should be preferably from defence background (BSF/Army/ITBP)
- 15–18 years of experience in plant administration & facility management (includes security) roles.
